Fall Festival Volunteers

There are plenty of opportunities to share your time and talent with many time slots throughout the day including setup/cleanup; ticket/food booths; games and activities; prize booth; parking; and silent auction.

On Festival day, please report to the Volunteer check-in 15 minutes before your selected start time to get directions/instructions and pick up your t-shirt. We thank you very much for sharing your time to help make this event a successful one!

• Design the thematic logo for the Fall Festival
• Design the Fall Festival volunteer T-shirt
• Incorporate the Fall Festival/CGS logo for multiple media presentations, including CGS bulletin, social media, signs and banners and stationery

• Fall Festival chairperson, as well as various Fall Festival chairpersons regarding signage and logo usage
• Fall Festival treasurer
• CGS personnel responsible for the bulletin and social media
• Vendors printing signs and t-shirts

• Identify additional volunteers to assist with required duties, lead meetings of volunteers, attend meetings of Fall Festival committee or subcommittee to report results
• Working with the Fall Festival chairperson, design the logo for the Fall Festival, creating multiple color ways and designs for review and approval
• Design the volunteer T-shirt, taking input from the Fall Festival chairperson and committee
• Design signage to use for advertising, recognition of vendors, directions, etc. working with Fall Festival committee chairpersons
• Design items for placement in bulletin and on social media, working with CGS staff and Fall Festival committee chairpersons
• Select vendor for printing of signs, submit cost estimates to Fall Festival treasurer, along with final invoices
• Interact with vendor printing signs to ensure signs are received in timely manner, resolve issues as they arise
• Following festival, work with Fall Festival chairperson to create recognition signs for vendors, as needed

• Responsible for children’s games, including design and building of new games, repair, and, on day of the Fall Festival, set up, operation and tear down

• Form a team of volunteers to perform activities as required, lead meetings of volunteers, attend meetings of Fall Festival committee or subcommittee to report results
• Design any new games, purchase materials and build new games
• Repair any games, as needed, carried over from the prior year
• Participate, as needed, on Fall Festival committee to determine number of tickets needed to play each game
• Work with Fall Festival treasurer to ensure adequate number of boxes are available for tickets
• Provide volunteer chairperson with listing of volunteer needs for assembly, running and tear down of games

• Form a team of volunteers to perform gala activities required, lead meetings of volunteers, attend meetings of Fall Festival committee or subcommittee to report results
• Complete planning activities, including online ticket sales, design and graphic needs for gala dinner, flyers and pull up banner signs, décor to enhance attendee enjoyment, and selection of caterer/beverage service
• Accumulate cost data for approval and submission for payment
• Coordinate with Fall Festival live auction committee to ensure space in social hall is available as needed
• Work closely with Fall Festival treasurer, CGS business manager and accountant, Fall Festival volunteer chairperson to prepare for gala ticket sales
• Coordinate with Fall Festival sponsorship chairperson regarding tickets offered to sponsors
• Plan set up for the gala, including scheduling volunteers needed for set up, ensure CGS facilities and business manager are informed of facility needs, financial needs and security
• Host gala event evening, including emceeing and interacting with vendors and attendees
• Plan for completion of gala activities, close out and clean up
• Follow up as needed after the completion of the evening

• Organize and manage sale of tickets, including ticket design, ticket print order, setup online sales, create advertising for onsite sales

• Research potential raffle prizes, become aware of raffle prizes offered by other local charities
• Identify raffle prizes and cost to present to the Fall Festival committee
• Draft ticket copy for approval by CGS business manager and Fall Festival chairman, once approved order printed tickets
• Work with Fall Festival advertising and signage chairperson to plan advertising and social media for sales online and in person
• Prepare plan for sales after Mass and during Community Weekend, including materials for sales tables, scheduling volunteers, sales procedures
• Transfer online raffle tickets sold to paper prior to Fall Festival day
• Schedule drawing during Fall Festival day, ensure all tickets are placed in tumbler prior to drawing, complete drawing, provide notice to winners
• Complete any follow up from drawing
